Summary:

• The firm focuses on optimising law firms’ operations, recovering billable hours, and driving substantial growth for clients.

Responsibilities:

• Schedule appointments and maintain the President’s calendar.
• Monitor the President’s emails and handle basic correspondence or escalate as necessary.
• Ensure the President is prepared for meetings related to prospects, clients, and business development.
• Proactively assist the President in staying organized and on top of their work.
• Coordinate team meetings and document weekly meeting minutes.
• Support the sales process by preparing client invoices and managing payments to vendors and subcontractors.
• Track information and expenses using spreadsheets.
• Manage staff onboarding and maintain HR workflows and projects.
• Manage client onboarding and offboarding.
• Maintain email contact information in the CRM and electronic filing system and save client documents to Google Drive.
• Act as a resource to other staff members by reviewing documents and making recommendations.
• Provide direction and guidance to other staff members as needed.
• Provide client management and support by coordinating documents, gathering information, and ensuring completion of tasks.
• Attend meetings with the President to take notes and implement next steps using project management tools like Monday.com and Slack.
• Manage administrative client projects.

Requirements:

• Over 2 years of experience in an executive assistant, administrative assistant, or office support position.
• Tech-savvy with proficiency in Google Office projects, Google Sheets, and Excel.
• Strong skills in email and calendar management.
• Experience working for a law firm or professional services environment.
• Proficiency in quickly learning and adapting to new technologies.
• Proactive with excellent client service skills.
• Organized, detail-oriented, and enjoys helping others.
• Process-driven and a pleasant colleague to work with.
• Comfortable handling sensitive information and maintaining confidentiality.
• Able to work independently and as part of a team.
• Strong prioritization and multitasking abilities.
• Excellent verbal and written communication skills.
• Strong time management skills.
• Brownie points for experience with Monday.com, CRM, or a Bachelor’s degree.
