HR Administrative Assistant I – Fully Remote / WFH Full Time

Responsibilities:

• Update and maintain personnel records.
• Prepare recruiting and HR-related reports.
• Respond to emails and calls for the HR department.
• Assist with employee engagement initiatives, including the company newsletter and employee events.
• Assist with employee onboarding by coordinating with various departments.
• Handle moderately complex clerical, administrative, technical, or customer support issues under general supervision while escalating more complex issues to appropriate staff.
• Manage calendars for HR by scheduling and coordinating meetings and appointments.
• Assist with employee leaves and other status changes within the company.
• Support the open enrollment process and assist with its preparation.
• Maintain strict confidentiality at all times.
• Assist with taking and organizing meeting notes as needed, ensuring key points, action items, and decisions are accurately documented.
• Manage and update the HR department’s weekly agenda, ensuring all topics, meetings, and deadlines are organized and distributed in advance.
• Provide administrative support for various HR initiatives, including performance reviews, employee surveys, and benefits administration.
• Assist HR with ad-hoc projects as assigned.
• Provide comprehensive support throughout the recruitment process, including job postings, requisition intake, interview coordination, and onboarding.
• Help prepare onboarding materials and facilitate orientation sessions.
• Maintain accurate records of job requisitions, candidate progress, and hiring outcomes.
• Assist with administrative tasks such as scheduling HR meetings and preparing HR reports.
• Support employee events, initiatives, and engagement activities as needed.

Requirements:

• Experience in recruiting or providing recruiting support.
• Knowledge of HIPAA and Healthcare compliance is required.
• High proficiency in written and verbal communication skills.
• Strong attention to detail with the ability to identify inconsistencies, errors, or areas for improvement.
• Customer support experience.
• Strict adherence to confidentiality and accuracy.
• 2 to 3 years experience in an HR support role.
• 1 year of experience using Paylocity with admin-level (or higher) access.
• High-speed internet connection with reliable service is required.
• Comfort with 100% remote work.
• Excellent knowledge of the Google Suite (Google Drive, Docs, Slides, Sheets, etc.).
• A positive, proactive attitude with a strong desire to support others.
• Dynamic problem-solving skills and high motivation.
• High School diploma or equivalent GED is required.
• A dedicated workspace free from distractions is required.
