ClearDesk is hiring a Virtual Assistant – Healthcare Scheduler to manage caregiver scheduling and support administrative tasks for a U.S.-based healthcare operation. This remote role reports to the Lead Service Coordinator and involves proactive communication, system documentation, and cross-functional collaboration.
Create and manage caregiver schedules up to two weeks in advance across five counties.
Track caregiver clock-ins and clock-outs for billing and payroll accuracy.
Respond to last-minute cancellations, absences, and reassignments.
Handle incoming calls regarding scheduling and client or caregiver inquiries.
Maintain caregiver and client data in WellSky, including notes and internal updates.
Communicate scheduling updates to team members and the recruitment team.
Report territory-specific issues to the Operations Manager.
Conduct caregiver check-ins and 90-day/annual evaluations.
Generate supply and demand reports for caregivers.
Provide cross-coverage support when other team members are unavailable.
Execute daily task assignments and scheduling priorities.
Assist with admin tasks during downtime, like job ads and billing prep.
College educated.
NBI Clearance, Police Clearance, or equivalent background check upon hiring.
Comfortable using Hubstaff time-tracking software.
Experience or strong aptitude in fast-paced scheduling, preferably healthcare.
Excellent communication and phone-handling skills.
Recruitment and healthcare experience/software knowledge are a plus, but not required.
Proficient in Microsoft Outlook, Office Suite, Teams, Zoom, ConnectUC VoIP/Yealink, and OneDrive.
Professional English fluency.
Personal computer or laptop with minimum internet speed of 25 Mbps.
